Your roles & responsibilities
In Employee Services & Welfare
- Assist the team in providing HR services to employees in a timely, accurate, and organised manner.
- Administer the employees’ welfare services such as off-boarding services (assignment and return of Company equipment & assets).
- Assist in the preparation of staff dinners and/or all Company events.
- Monitor employees’ attendance; tracking leave submissions, sick leave, and others.
- Report on irregular attendance patterns of employees.
- Monitor employees’ Work-from-home practice.
- Identifies legal requirements and government reporting regulations affecting human resources functions and ensures policies, procedures, and reporting are in compliance.
- Responds to inquiries regarding policies, procedures, and programs.
- Keeps records of benefits plan participation such as personnel transactions such as hires, promotions, transfers, performance reviews, and terminations, and employee statistics for government reporting.
- Administers benefits programs such as health insurance, annual leave entitlement, sick leave, leave of absence, and employee assistance.
- Assist in organising performance review procedures (e.g. mid-year/annual and 360° evaluations).
- Administers & assists Supervisors on performance review programs to ensure effectiveness, compliance, and equity within the organisation.
- Assist in all recruitment activities such as placement of job advertisements and work in partnership with agencies on staff placement.
- Prepare offer letters and employment contracts, make the character or referral check on candidates, issue offer of employment, follow-up on offer and acceptance.
- Organise new staff orientation and on-boarding process for all new starters with company Director.Â
- Keep track of probationers and alert company Director on due confirmation of probationers.
- Schedule interview and preparation of documentation for interview.
- Keep in file the applications of potential candidates for future job openings.
- Ensure all Job Descriptions are kept up-to-date.
- Assist in the implementation and execution of employee engagement initiatives and programs.
- Coordinate and organise employee events, workshops, and activities to foster a positive work culture.
- Conduct surveys and gather feedback to assess employee satisfaction and engagement levels.
- Collaborate with other departments to ensure effective communication and teamwork.
- Address employee concerns and provide timely resolutions to maintain a positive work environment.
- Support the development and implementation of recognition and reward programs.
- Participate in on-boarding processes to ensure new employees feel engaged and integrated into the organisation.
- Keep abreast of industry trends and best practices related to employee engagement.
- Assist in sourcing and arranging appropriate training for all employees. Monitor and update the list of training courses attended by the employees.
- Assist in administering and coordinating the registration of professional development and assist in any internal and external training activities.
- Maintain the filing records of all HR processes, both physical copies and on the system deployed by the company.
- Prepare and maintain in a good orderly manner up-to-date documentation and records keeping on the life cycle of employees.
- Assist in implementing HR policies and procedures.
- Upkeep, update and maintain inventory level of resources and supplies for the execution of HR activities such as the use of Google Forms.
- Other tasks as necessary to support the Management in the overall management of the HR function.
- Min 2 years of experience with proven work experience as an HR Executive or similar role.Â
- Familiar with Human Resources Management System.
- Possess at least a Professional Certificate, Diploma, or Bachelor’s degree in Human Resources Management or relevant degree or certification.
- Possess impeccable command of English (Written and spoken).
- Basic knowledge of Google Workspace ( Doc, Sheets, Slides, etc.)
- Additional HR training will be a plus
